  • Overview

    The Library for the Performing Arts has one of the world’s most significant collections of research materials about music, dance, theatre, and recorded sound.  The library maintains a major circulating collection of books and media as well as world-class special collections, which include rare and fragile materials such as archival collections, loose sheet music, photographs, programs, clippings, scrapbooks, manuscripts, fine art, and rare books.  


    The Library for the Performing Arts Music and Recorded Sound Divisions are seeking a Library Administrative Assistant to perform a wide range of clerical, secretarial and general office duties.


    Principal Responsibilities

    • Maintains the Curator’s calendar, prepares travel arrangements and divisional administrative records.
    • Prepares requisitions for supplies and other divisional needs.
    • Prepares memoranda and internal communications, and drafts selected correspondence for Curator’s signature.  
    • Responds to telephone, mail, and email inquiries from Library staff and the general public.  
    • Responsible for meeting coordination and set-up including preparation of agendas and related materials.  
    • Takes minutes at designated meetings.  
    • Gathers and assembles information for routine and special reports.
    • Coordinates with ITG on building and upkeep of internal and external contact lists, MUS-RHA mailing groups, handles scheduling and logistics for internal and external events and ensures that goals are met.
    • Coordinates data collection and transmission to various stakeholder groups including Marketing, Communication, Budget and Strategy.
    • Coordinates with the Special Events Office as needed.  
    • Performs related duties as required.

    Minimum Qualifications

    • High School Diploma with successfully demonstrated administrative experience
    • Excellent interpersonal, oral and written communication skills, including the ability to respond effectively to phone inquiries and to deal tactfully, graciously and effectively with library staff and the public
    • Demonstrated ability to perform detailed work with speed and accuracy
    • Excellent organizational skills
    • Strong commitment to high quality and productivity
    • Successfully demonstrated ability to: work independently with minimal supervision in a collaborative team environment; exercise good judgment, discretion, and initiative, and meet deadlines
    • Demonstrated accurate typing skills and experience with standard business correspondence and proofreading standards
    • Demonstrated proficiency in the use of technology, including: standard office and presentation software; online tools and software applications including email, and online calendars

    Starting Salary

    USD $33,984.00/Yr.

    Minimum Salary (with 2 years of NYPL service)

    USD $39,082.00/Yr.


    35 hours per week to be scheduled during operating hours
    Evenings and weekends as required
    Schedule subject to change
