  • Overview

    The Grants and Special Funds team ensures compliance with government and private donors' requirements regarding grants and gifts.  The team is in charge of the recording and reconciliation of the city, state and federal revenue and plays a significant role in the year-end closing by processing all the journal entries needed to achieve this.  They also monitor the city, state and fed accounts receivable payments.   As part of the Library's partnerships with Brooklyn Public Library and the NYC Department of Education, the Grants and Special Funds team is responsible for the accounting for the Shared Services program, as well reviewing and approving accounts payable invoices that are charged to government and construction funds.


    The Grants and Special Funds Analyst is responsible for analyzing, reviewing and preparing reports for government grants and private donors.  This position is also responsible for the timely drawdowns of city revenues.

    Principal Responsibilities

    Reporting to the Manager of Grants and Special Funds, the Analyst:

    • Analyzes, reviews and prepares reports for government grants and private donors
    • Prepares, reviews, and enters journal entries to the general ledger; examines and reviews entries and charges posted for accuracy and compliance with established accounting standards and regulations
    • Works closely with financial analysts and program staff to monitor spending levels and to facilitate timely close-out of grants
    • Analyzes receivables on all grant funds and ensures timely drawdowns and/or requests for reimbursements
    • Creates reports required by auditors and reports needed for preparation of the Library's audited financial statements as well as other reporting needed for the Library's year-end close
    • Assists with the annual Federal A-133 Audit, including preparation of the Schedule of Expenditures of Federal Awards
    • Ensures new gift, grant and ORA numbers are created in Workday for tracking
    • Establishes new funds based on request from various units of the Library and as determined by donor restrictions
    • Assists the Manager of Grants and Special Funds with other related duties as required

    Minimum Qualifications

    • Bachelor's degree in Accounting
    • Working knowledge of accounting for government grants and donor-restricted funds
    • Excellent interpersonal, oral, and written communication skills including demonstrated ability to work effectively with administrators on a professional level
    • Demonstrated ability to prioritize and organize work, accurately and efficiently perform detailed tasks, and follow through to achieve deadlines and goals
    • Experience with computerized accounting software
    • Advanced level Excel experience
    • Ability to work flexible hours and willingness to exhibit a high level of commitment to the job

    Preferred Qualifications

    • Experience with Workday preferred
    • Grants reporting experience preferred
